Xhire is registered with the ICO, and has a duty to ensure that usage of our services complies fully with all Data Protection laws and guidelines.

We recommend that you gain consent to share information with Xhire from potential clients by adding this paragraph to your website privacy policy and terms and conditions:

Hire Company Ltd is committed to fighting fraud within the equipment hire industry and shares information, (including CCTV images and copies of documents provided by potential hirers) about suspicious persons and behaviour with other equipment hire companies via the X-hire Anti-Fraud Network: https://www.xhire.org.uk/ By making an enquiry or booking equipment with us, you consent to this. We reserve the right to withdraw the offer to hire equipment if we are not satisfied with the information provided in support of your application.

Here are some general guidelines:

Do not

  • Publish or share pictures of individuals, unless they were seen to take delivery of the kit, either at your premises or elsewhere
  • Share scans of identity documents, unless you are certain that they are forgeries.

Do

  • Share CCTV images of fraudulent hirers and anyone who has stolen kit from you
  • Share images cropped from ID documents, if the individuals concerned took delivery of kit fraudulently.  A picture which does not have a name attached is not considered to be personal information.

There is no reason why you cannot share information about individuals who attempt to rent kit, who you believe may not be genuine, or request further information from other members, provided the guidelines above are adhered to.

Xhire considers compliance with Data Protection Laws to be of the utmost importance, and action will be taken against anyone who breaches the Data Protection Acts while using the service.
